Czech Republic Visa Information

It is the attendee’s responsibility to investigate visa requirements for Czech Republic and apply for a visa if required. 

Everyone Should Know
  • Carry all required documents, including your visa, invitation letter, proof of accommodation, and financial means. It is a legal requirement to have your passport as identification during your stay in the Czech Republic. 
  • Your passport must have at least two blank pages and be more than 6 months from expiration. This applies to all visitors. 
  • Apply for visa at least 3 months before the conference to allow sufficient time for processing.

Visa Applications
  • Citizens from countries with visa-free agreements, including the United States, Canada, Australia, Japan, South Korea, and most EU countries, do not need a visa for short-term stays. Passport validity must extend at least three months beyond departure and include two blank pages. View the exempt list here.
    • NOTE: In 2025 the EU will begin the EES program. Within 6 months of the start of EES, visa-exempt travels will be required to have an ETIAS. Due to the timing of the conference, this likely will not apply for our conference in June. This page will be updated if that changes. 
  • For those who need a Schengen visa, estimated processing time is 15 calendar days. This period may be extended to 45 calendar days if additional documentation is needed. Additional info is available here
  • Traveling from Indonesia, applicants holding other than an Indonesian passport: a valid KITAS/KITAP is needed.
  • Applicants can apply up to 6 months but no later than 15 days before planned travel. Appointments should be booked well in advance of travel as there is usually a waiting time for an appointment. 
  • Applications must be submitted in person at the Czech Embassy or Consulate nearest your residence, postal applications will not be accepted. Appointments can often be booked online. A list of Embassies is available here.
  • Travel insurance is mandatory if you need a Schengen visa for Czech Republic. 
  • Necessary documents:
    • Visa Application Form: Complete, print, and sign.

    • Passport: Valid for at least six months beyond your stay.

    • Photographs: Two recent passport-sized photos adhering to Schengen specifications. These are to be glued to your application and not stapled.

    • Conference Invitation Letter

    • Accommodation Proof: Hotel reservation confirmation

    • Travel Itinerary: Copies of flight reservations showing entry and exit dates.

    • Travel Insurance: Coverage of at least €30,000 for medical emergencies, valid throughout the Schengen Area.

    • Proof of Financial Means: Bank statements or employer sponsorship letter showing sufficient funds.

  • Visa fees vary by country and are typically payable in cash or by credit card at the time of application. Verify payment methods with your nearest embassy or consulate.

Invitation Letters
Your visa application may require you to submit an official letter of invitation from the conference organizers. Follow these steps precisely to receive your letter.

Provide these details, in a numbered list: 

  1. Full name as it appears on your passport
  2. Passport number
  3. Nationality
  4. Role in conference (speaker, attendee, sponsor, etc.)
Invitation letters will be e-mailed within three business days, as an electronic PDF. We do not provide a hard copy through the mail.
